This Policy applies to the personal data (hereinafter referred to as « Data ») that LINK2FLEET collects about you through its websites (hereinafter referred to as the “Sites »).
The terms used in this Policy have the meanings assigned to them by Regulation (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and the free movement of such data (hereinafter referred to as the « Regulation » or « GDPR »).
By using these Sites or by providing your Data, you agree to the practices described in this Policy. If you do not agree with its terms, please do not use this Site and do not provide your Data. In such a case, you also agree not to benefit from all the services and other advantages offered by LINK2FLEET.

2. CONTACT DETAILS OF THE DATA CONTROLLER
LINK2FLEET, having its registered office at 32 Chaussée de Theux, 4802 Verviers, and registered with the Crossroads Bank for Enterprises under the number 657.776.992, is responsible for processing the personal data you provide directly on the Sites.
3. WHAT DATA DO WE COLLECT, FOR WHAT PURPOSES, AND ON WHAT LEGAL BASES?
3.1. Contact via e-mail
When you contact LINK2FLEET’s services via e-mail, LINK2FLEET uses your forename, surname, the name of the company you work for, and your e-mail address so as to be able to get back to you and respond to your requests for information or assistance. The legal basis for processing these data is your consent.
3.2. Contact via phone
When you contact LINK2FLEET by phone to obtain assistance or connect with its various services, LINK2FLEET uses your forename, surname, the name of the company you work for, and your phone number. You may also need to provide other information about yourself, the nature of your call, and other details to answer subsequent questions. In such a case, your Data are used to respond to your requests for information or assistance, and the legal basis for processing is your consent.
3.3. Promotional offers to existing clients
When you are already a client, LINK2FLEET may provide information about services similar to those you have previously ordered. The legal basis for this processing is LINK2FLEET’s legitimate interest. You will also have the right to object to this processing at any time by clicking on the « unsubscribe » link.
3.4. Subscription to the newsletter
When you sign up for the newsletter, we collect your forename, surname, e-mail address, company name, your profile, and your communication and e-marketing preferences. The legal basis for processing is your consent.
3.5. Creation of a free account on our site link2fleet.be
When you create an account to access restricted content on link2fleet.be, your personal data such as your first and last name, e-mail address, preferences, and interests in the mobility sector are stored and processed to (1) provide you access to personalized offers, services, and content and (2) enable you to register in the Experts Guide directory. The legal basis for processing is your consent.
3.6. Registration in the Experts Guide directory
When you register your company and/or your business as a natural person in the Experts Guide directory on link2fleet.be, your data such as your forename and surname, e-mail address, company name, or the company you work for, as well as your communication and e-marketing preferences, are stored and processed to enable you to publish the data of your choice about your business and the contact persons in your company in the directory. The legal basis for processing is your consent.
3.7. “Academy” Service
The purpose of the « Academy » service of LINK2FLEET (formerly Mobilitime) is to offer webinars on various topics relating to fleet management. The service enables users to register through the Livestorm platform.
When you register for the Academy service, LINK2FLEET collects your Data and processes them to enable you to participate in the offered webinars. The legal basis is your consent.
The data processed includes your forename, surname, e-mail address, profession, the name of your company, or the company you work for. Depending on the webinar chosen, LINK2FLEET may ask for additional Data, such as the size of your fleet.
Your data are shared with the registration platform provider, Livestorm, and a link to its general terms and conditions is provided. Registration requires acceptance of these general terms and conditions.
The Data provided may subsequently be used by LINK2FLEET to send you e-mail invitations to future training sessions organised by LINK2FLEET related to the webinars. You can unsubscribe from these communications at any time by clicking the link in each e-mail. The legal basis for this is LINK2FLEET’s legitimate interest in offering you similar services and products to those you have already ordered. These data will not be used to subscribe you to LINK2FLEET’s newsletter.
3.8. Registration for events
When you register for (physical or online) events organised by LINK2FLEET, LINK2FLEET collects the following Data: your forename and surname, e-mail address, profession, the name of your company, or the company you work for, and, if applicable, the bank account number used to pay for your registration. Additional data such as the size of your fleet may be collected for some events, depending on the topic. LINK2FLEET relies on your consent to process these data.
When a third party, such as your employer, registers you for events, they provide us with your forename and surname, e-mail address, profession, the name of your company, or the company you work for, as well as the size of your company’s fleet. This processing is based on the legitimate interest of the person registering you to process your data for professional and/or informative purposes related to event registration. You will receive an e-mail acknowledgment of your registration containing a link to this Policy. You always have the option to unsubscribe from the event.
3.9. Purchase of products on the e-commerce site
LINK2FLEET offers the following products:
– The purchase of access to free and/or paid online products such as literature, tools, and articles on topics of interest to the mobility sector.
– The order of free and/or paid physical products such as magazines and journals.
When purchasing LINK2FLEET products on its e-commerce site odoo.link2fleet.com, LINK2FLEET collects the following Data: your forename and surname, e-mail address, postal address, profession, the name of your company, or the company you work for, and if applicable, your bank account number. Depending on the product chosen, LINK2FLEET may ask for additional Data, such as the size of your fleet. These data are processed to be able to deliver the aforementioned products to you.
3.10. Purposes and transfer of specific data
Mandatory fixed data
Mandatory fixed data is collected regardless of the product or service subscribed to. These data enable us to identify you, verify your identity, process the order, confirm and track your order, handle billing, and payment (if applicable). These data are moreover used for statistical purposes and, where applicable, to ensure the proper organization of the event.
These data may also be shared with partners involved in the organisation of a physical or online event. In such cases, your explicit consent will be required. The categories of partners are listed in Section 6 below.
For the purchase of an online and/or physical product, we may transfer your data to the partner(s) responsible for processing the order and/or shipment in physical or digital form (e.g., postal delivery service). The legal basis for this processing is the necessity of contract execution (order).
Mandatory variable data
Mandatory variable data are collected when purchasing or subscribing to certain defined products or events. This includes data regarding the size of your fleet. This information is used for statistical and commercial communication purposes.
For the « Academy » webinar registration service, LINK2FLEET will use the data provided to send you e-mail invitations to future training sessions organised by LINK2FLEET related to the webinars. You can unsubscribe from these communications at any time by clicking the link in each e-mail. The legal basis is LINK2FLEET’s legitimate interest in offering you similar services and products to those you have already ordered. These data will not be used to subscribe you to LINK2FLEET’s newsletter.
If you consent, the mandatory variable data (i.e., the size of your fleet) will be shared with our commercial partners and event organisers so they can contact you during or after the event for promotional purposes.

LINK2FLEET Sites contain links to third-party websites, and some of its services give you access to third-party services (such as social media).
LINK2FLEET has no control over how third-party websites and services handle your personal information. LINK2FLEET does not verify third-party sites and services and is not responsible for these third-party sites, services, or their privacy practices. Please read the privacy statements of the third-party sites or services you access from the Sites or services.
5. DATA RETENTION
We only process your data to the extent necessary for the purposes for which it was obtained and for the duration necessary to fulfil the mentioned purposes. If certain data are required to comply with LINK2FLEET’s legal obligations (e.g., accounting obligations), they will be retained in compliance with the applicable legislation.
Your data are retained for the necessary duration of processing, i.e., the duration of the contract or as part of marketing operations or newsletter subscriptions, or until the person concerned objects or withdraws their consent.
If data are needed to comply with legal obligations (e.g., accounting obligations) or for dispute resolution, they will be retained in compliance with applicable legislation.
6. WITH WHOM DO WE SHARE YOUR PERSONAL DATA?
Your data will not be disclosed to third parties except in the following cases:
• In the course of providing its services, LINK2FLEET may subcontract certain activities to contractors bound by contract to execute the order or ensure services. These subcontractors are third-party external service providers such as insurance companies, IT service providers, support, hosting providers, printing service providers, and other similar third-party vendors and subcontracted service providers who assist us in conducting our business.
• When providing e-commerce services via the Odoo web application, the data you provide are stored on a cloud hosted by the French company OVH Groupe SA, headquartered at 2 Rue Kellermann, 59100 Roubaix, and registered with the French company registry under number 537 407 926. OVH is LINK2FLEET’s subcontractor for the data provided when using Odoo.
• When collecting your personal data, they are stored on Microsoft Azure’s cloud, which is LINK2FLEET’s subcontractor for these purposes.
• LINK2FLEET also shares your data with commercial partners active in the broader mobility sector, including but not limited to:
o Leasing companies
o Oil companies
o Insurance companies
o Rail transport companies
• Governmental authorities and third parties involved in legal proceedings or under a legal obligation.
• Other third parties with whom we may share your personal data in connection with an ongoing or proposed reorganisation, merger, sale, joint venture, assignment, or other transaction related to all or part of our business.
LINK2FLEET also requires its subcontractors to comply with data protection legislation and provide sufficient guarantees regarding the implementation of appropriate technical and organisational measures to ensure that processing meets data protection legislation requirements and guarantees the protection of your rights. A data processing contract will be concluded with these subcontractors in accordance with Article 28 of the GDPR.
7. WHAT ARE YOUR RIGHTS?
7.1. Right of access
You have the right to obtain confirmation from LINK2FLEET as to whether Data concerning you are being processed and, when they are, to access said Data by sending an e-mail to info@link2fleet.com or by sending a written request by mail to the following address: 32 Chaussée de Theux, 4802 Verviers.
7.2. Right to correction
You have the right to request the correction of incorrect Data and the deletion of inappropriate or no longer necessary Data by sending an e-mail to info@link2fleet.com or by sending a written request by mail to the following address: 32 Chaussée de Theux, 4802 Verviers.
LINK2FLEET would like to remind you that you are responsible for verifying the accuracy of the Data you provide at all times.
7.3. Right to erasure (Right to be forgotten)
If you no longer wish for your Data to be processed and meet the conditions to request the right to erasure, LINK2FLEET will delete your Data from its databases. This deletion will occur within one month of your request notification, unless its retention is necessary to comply with a legal obligation or to establish, exercise, or defend legal claims.
7.4. Right to data portability
Where applicable, you also have the right to data portability under the conditions provided by the applicable data protection legislation.
7.5. Right to object
You also have the right to object to the use of your Date for marketing purposes. You can exercise your right to object at any time, free of charge, and without providing any justification by sending an e-mail to info@link2fleet.com.
You may also unsubscribe from marketing messages by following the unsubscribe instructions included in each marketing message sent to you. LINK2FLEET will honour your request(s) as promptly as possible.
7.6. Right to restrict processing
Finally, you have the right to obtain a restriction of processing of your Data from LINK2FLEET, in accordance with the applicable data protection legislation.
7.7. Right to image
During events and training sessions organised by LINK2FLEET, you may be photographed or filmed. LINK2FLEET may use these images to promote its services on its website, social media, and publications. You have the option to object to this distribution by sending an e-mail to info@link2fleet.com.
8. LIMITATION OF LIABILITY
LINK2FLEET’s liability is limited to direct damages, excluding any indirect damages such as, but not limited to, Data loss, financial or commercial loss, loss of profits, increased general costs, or scheduling disruptions.
Furthermore, LINK2FLEET cannot be held responsible for any damage resulting from illegitimate manipulation by third parties of the Data (data theft, viruses, phishing, or other computer crimes).
9. SECURITY
LINK2FLEET has developed appropriate security measures through a strict security policy to prevent the destruction, loss, falsification, modification, unauthorised access, accidental disclosure to third parties, and any other unauthorised processing of Data.
In general, access to your Data is restricted and limited to the extent necessary for LINK2FLEET to carry out its missions.
To protect data and systems, LINK2FLEET implements:

– Encryption of all data
– Asset management
– Access management
– Physical and environmental security rules
– Operational security rules

11. APPLICABLE LAW AND COMPETENT COURTS
These provisions shall be governed, interpreted, and enforced in accordance with Belgian law, which shall be the sole applicable law in case of dispute.
Any dispute that cannot be resolved amicably within one month of its occurrence—this period may be extended by mutual agreement—may be brought before the French-speaking Courts and Tribunals of the judicial district of Liège, which shall have sole jurisdiction.
12. MODIFICATION
LINK2FLEET reserves the right, at its sole discretion, to change, modify, add or remove portions of this policy at any time. LINK2FLEET will post a copy of the amended terms on its websites. Any changes will take effect 7 (seven) days after the date of the e-mail notification or the date LINK2FLEET posts the amended terms (the date of the last update below), whichever is earlier.
